BruinBuy Plus

The launch of BruinBuy Plus is right around the corner—complete your required training to ensure you have system access! 

Note: Campus Buyers, PAN reviewers, and Fund Managers responsible for active award(s) associated with subawards or subcontracts are required to complete training by December 21, 2023, to gain access to BruinBuy Plus when it launches.

Training is available on Bruin Learn, UCLA’s secure learning management system, and organized by role so that you can easily find the resources you need. If you are required to complete training, you should have received a separate email with additional instructions. Copies of training invites can be found on the BruinBuy Plus Training web page.  


REMINDER: BruinBuy Plus training is by invitation only—do not forward training invitation emails.

Please note: The deadline for BruinBuy Plus training completion has moved from early January 2, 2024, to December, 21, 2023. Please adjust your plans to complete your training by this time so that you are able to buy goods or services for your department in the new system.   

Bruin Finance

This past year, UCLA and the Ascend 2.0 program have worked together to reach many important milestones in the development of Bruin Finance, UCLA’s new core financial system. This system, powered by Oracle Financials Cloud, is slated to launch in December 2024. Some of the most important achievements include:  

  • Collaborated with over 200 campus representatives, representing 49 campus organizations, to map over 2 million Full Accounting Units (FAUs) to the new Chart of Accounts (CoA).    
  • Worked with departmental IT staff overseeing over 100 boundary systems to complete activities to modify or “retrofit” these systems. This ensures the systems will be able to exchange financial information with Bruin Finance when it launches.* 
  • Established the Campus Reporting Workgroup and Research Reporting Subcommittee to define requirements for over 40 critical reports that will be used across the University when the system launches.   
  • Completed five of eight Sprint development cycles to build what will be our future Bruin Finance system in collaboration with subject matter experts.   
 A “boundary system” is any system used by a department at UCLA that will exchange financial information with core financial systems and/or the Financial Information Hub (FIH).    

 

These milestones could not have been achieved without the collaboration and expertise from our many of campus partners from across the University. We look forward to another successful year as the program prepares for the launch of Bruin Finance later next year.  

Research

Starting January 2, 2024, Principal Investigators (PIs) and Fund Managers will review and approve research sub-award and subcontract invoices in BruinBuy Plus, UCLA’s new procure-to-pay system. This is a change from current practice, in which invoices are approved outside the procurement system. 

The new sub-award and subcontract invoice review and approval process is designed to simplify and expedite payment of invoices. 

The process will be as follows: 

  1. A sub-award and subcontract invoice will be submitted to Accounts Payable through a new centralized email address - noreply@invoices.ucla.edu
  2. Accounts Payable will review the invoice. 
  3. The invoice will then be sent to the assigned Fund Manager and PI for review and approval. 
  4. Accounts Payable will then pay the invoice. 

Fund Managers with awards that have outgoing sub awards or subcontracts are required to complete a short, role-specific BruinBuy Plus online training course by December 21, 2023, to gain access to the system. While not required, PIs are highly encouraged to take a very short, PI-specific BruinBuy Plus online training course as well. Those who are required to complete training have received a separate email with instructions on how to access it.
