Prepare for Upcoming System & Process Changes   

When BruinBuy Plus goes live on January 2, 2024, UCLA will experience many exciting benefits that will move the University to more efficient and transparent procurement processes. Below are some of the changes you can expect:  

Payee Onboarding: For a payment or purchase order (PO) to be issued through BruinBuy Plus, all payees must be registered in PaymentWorks. This requirement applies to all BruinBuy Plus payees, including individuals who are receiving a single payment.   

  • For faster and easier PaymentWorks onboarding, a shortened registration form will be available for qualifying payees.  
  • For help onboarding your payees, contact UCLA’s Vendor Onboarding Specialists.  

PO Numbers: BruinBuy Plus PO numbers will follow a sequential numbering series. The department code prefix will continue to be used; however, the remaining numbers will be autogenerated by the system (e.g., 35100000001389) 

  • Legacy POs that are migrated into BruinBuy Plus will retain their current PO number.   

Order Classes: Order classes will be replaced by BruinBuy Plus’ new Forms functionality, allowing for an easier and more streamlined PO creation process. Forms allow users to purchase certain transaction types that catalog vendors are unable to fulfill.

Bruin Finance

The Campus Reporting Workgroup and Research Reporting Subcommittee were formed to ensure strong UCLA partnership in defining the financial reports to be prioritized with the launch of Bruin Finance. Members of these committees were nominated by Finance and Research leaders, represent a variety of campus organizations, and possess knowledge of existing financial reporting at UCLA and a vision for the future of Financial Reporting & Business Analytics. 

In early summer, the Campus Reporting Workgroup and Research Reporting Subcommittee met weekly to identify and prioritize critical financial reports for Bruin Finance. After prioritizing a list of reports, committee members now continue to meet regularly to provide input into the requirements of each report that will be used by campus departments. Key activities for committee members include reviewing the design specification documents and participating in report requirement gathering sessions. As these reports are developed, the program looks forward to previewing them with campus in the future. Research

As our future financial systems are developed, the Research community continues to provide valuable input to ensure the new systems meet the needs of the growing Research enterprise at UCLA. Principal Investigators (PIs), Fund Managers, Research Administrators, and other members of the Research community currently contribute to the Ascend 2.0 program through several forums and committees:

  • Research Advisory Committee (RAC): Advises the Ascend 2.0 program team on decisions that impact UCLA’s Research community
  • Research Administration Forum (RAF): Monthly forum hosted by the Office of Research Administration to convey important information to campus research administrators; members of the Ascend 2.0 program share updates and gather feedback in this forum (learn more on the RAF website)
  • Research Reporting Subcommittee: Works in collaboration with the program’s Financial Reporting & Business Analytics team and the Campus Reporting Workgroup to help prioritize reports for campus
  • Sponsored Projects Post-Sprint Demos: A forum that provides a select group of campus subject matter experts the opportunity to share feedback on specific Research system functionalities (view prior Post-Sprint Demos on the Research webpage)
  • Researcher Focus Group: Fosters faculty involvement and serves as a forum for PIs to share feedback and ask questions

These ongoing collaborative groups continue to meet to provide their input and expertise to ensure future financial systems maintain the same efficiencies available today.
